Pricing
How the iPad prices a line, happy-hour prices, how IVA works with tax-inclusive menu prices, and how to change many prices at once.
On this page
This page covers how the iPad prices a line, how your venue's tax setting applies to menu prices, and the two tools in Menu › Pricing: happy-hour prices and the bulk price update. A single product's price is set on its product sheet (Products and categories); option upcharges are on Modifiers and the iPad picker.
How a line is priced
When a product is rung up on the iPad, the line takes the product's own price — Price (MXN) on its product sheet — at that moment, or its happy-hour price while one of its happy-hour windows is open (see Set happy-hour prices). Option upcharges are added per unit, the quantity multiplies, and Barform works out the check's totals. The price doesn't depend on who rings it up.
- Line total = quantity × (unit price + the upcharges of the options chosen on that line).
- Line discounts come off next, then a whole-check discount, then tax. See Discounts and comps and Tax and tax-inclusive pricing below.
- A line keeps the price it was rung up at. Changing a product's price later, or a happy-hour window closing, doesn't change lines already on checks.
- Tapping a product that already has a matching unsent line on the check (same options, note and seat, no discount) adds 1 to that line, but only while the line's price still equals the price a tap would ring now. After a price change, or once a happy-hour window has closed, the next tap starts a new line at the new price.
- Changing the options of a line that hasn't been sent (tap the line › Modifiers › Update · $X) keeps the price the line was rung up at, its happy-hour price included. Only the options are priced again.
- Each iPad charges the price it has. An iPad that hasn't received a price change yet charges the old price until it does.
- A custom drink tile charges the price picked in its builder, not simply its own price. See Custom drinks.
Change a product's price
- In the back office, open the product in Menu › Products, change Price (MXN) and click Save — or use the bulk price update for many products at once.
- The new price reaches the iPads, usually within a second. An iPad whose live connection is down gets it at the next sign-in.
Tax and tax-inclusive pricing
Each venue has one IVA rate and one switch saying whether menu prices already include IVA. Every product price is read through that switch. There are no per-product tax rates or exemptions.
Who can do this: admins. Managers can open the page but only read it: "You can view venue settings, but only admins can change them."
- In the back office, go to Settings › Venue › Venue › Taxes.
- Type the Tax rate (%) or turn Tax-inclusive pricing on or off. The page saves on its own.
| Setting | Default | What it changes |
|---|---|---|
| Tax rate (%) | 16 | The venue's IVA rate: a whole number from 0 to 100. Anything else shows "Enter a tax rate between 0 and 100". |
| Tax-inclusive pricing | On | On: "Menu prices already include tax." Off: IVA is added on top of menu prices. |
The defaults are what a venue starts with when it signs up. For more on this screen, see Venue settings.
How IVA is worked out
Tax is worked out on the whole check after discounts, not line by line, and rounded to the centavo.
- Tax-inclusive pricing on: the total is the subtotal minus discounts, and the IVA is the part of that total that is tax: total − total × 100 ÷ (100 + rate). On the iPad the totals are one line, "Total · includes IVA $X"; a receipt prints "Includes IVA (16%)", with your rate, under its TOTAL.
- Tax-inclusive pricing off: IVA = (subtotal − discounts) × rate ÷ 100, and the total is subtotal − discounts + IVA. The iPad shows Subtotal, IVA (16%) and TOTAL; a receipt prints an IVA row above its TOTAL.
- "IVA" reads the same in both languages. On receipts, both tax lines follow the receipt design's tax option — see Printing and receipts.
Example at 16%: a check of $116.00 with tax-inclusive pricing on carries $16.00 of IVA, and the guest pays $116.00. The same $116.00 of menu prices with it off becomes $116.00 + $18.56 = $134.56.
- Barform works out a check's totals again, with the current setting, whenever something on it changes: a ring-up, a void, a discount. Taking a payment doesn't.
- The iPad reads the rate and the switch when someone signs in. It uses them to lay out its totals and, in the payment sheet, to show the IVA inside a partial charge (a seat, a share or a typed amount). The check's subtotal, IVA and total themselves are always worked out by Barform.
- With no rate set, the labels drop the percentage: "IVA", "Includes IVA".
Tip
Change the tax setting when no checks are open. An open check is re-taxed only at its next change, and iPads keep the old layout until the next sign-in.
Set happy-hour prices
A happy-hour price gives one product a special price on chosen days, inside a daily window, between optional dates — a happy hour, a weekend special. While its window is open, the iPads charge the special price by themselves: nobody on the floor has to choose anything. The card in Menu › Pricing sums it up: "Special prices for set days and hours. While one is on, the iPads charge it instead of the product's price; lines already on a check keep the price they were rung at. If two overrides of one product are on at the same time, the lowest price wins."
Who can do this: admins and managers.
- In the back office, go to Menu › Pricing. The Happy hour & overrides card is first on the page.
- Click New override. The New price override dialog says: "Days and times are the venue's clock. A window that ends after midnight (23:00–01:00) belongs to the day it starts. Leave both times empty for all day."
- Fill it in:
- Name — it starts as "Happy Hour". Up to 80 characters; only the back office shows it.
- Product — click Pick… and type to search. Each product shows its category and price. One override covers one product: for several products, make one override for each.
- Override price (MXN) — the special price.
- Days of week — click the days it runs, from Sun to Sat. "Empty = every day."
- Daily start (24h) and Daily end (24h) — set both, or leave both empty for the whole day. An end earlier than the start runs past midnight, for example 23:00 to 01:00.
- Starts on (optional) and Ends on (optional) — the first and the last day it runs.
- Active — on when you create it.
- Click Create. "Override created" appears, and the iPads pick it up within about a second.
To change an override, click the pencil (Edit) on its row, make the change and click Save ("Override updated"). To pause one, switch it off on its row: it saves at once, and the iPads follow within about a second. To delete one, click the bin (Delete), then Delete again on the question that names the override and its product ("Override deleted"). A deleted override can't be brought back.
The list shows the newest overrides first, 50 per page: the name, the product, the price, the days ("every day", or for example "Mon Tue"), the time window, the dates (with "…" for an open end), then the switch, Edit and Delete.
| Setting | Default | What it changes |
|---|---|---|
| Timezone (Settings › Venue, the Venue card) | Mexico City | The clock every happy-hour day and time is read on, whatever time zone an iPad itself is set to. The iPads read it when the app starts and at every sign-in. |
When a happy-hour price applies
- An override applies while it's switched on, on one of its days (no day chosen means every day), inside its daily window and between its dates.
- The start time is included and the end time isn't: a 17:00–19:00 happy hour charges the special price from 17:00 and the full price from 19:00.
- A window that runs past midnight belongs to the day it starts: a Friday-only 23:00–01:00 is on at 00:30 on Saturday morning, and not at 00:30 on Friday. An end of 00:00 means until midnight.
- Starts on and Ends on are both included and count by the day a window starts: a 23:00–01:00 window that starts on the Ends on day still runs until 01:00 the next morning.
- If two overrides of the same product are on at the same time, the lowest price is charged.
- An override replaces the product's price outright, so one set above the product's price is charged too.
- Option upcharges and an extra charge are added on top of the special price, as on any line.
What the iPads show and charge
- The price is decided at the moment of the tap, and it stays with the line. A window closing, or the override being changed or deleted, never changes a line already rung up.
- While a window is open, the product's tile shows the special price with a small Happy hour mark, and so do the options picker and the guest menu. Tiles and the guest menu change on the minute the window opens or closes; the options picker checks when it opens. A sold-out tile shows its 86 badge instead of the mark.
- A line rung at a happy-hour price shows Happy hour under its price for as long as it's on the check. Bills and receipts print the line at the price charged, without the mark.
- Tapping the product again adds to that line only while the window is open. After it closes, the next tap starts a new line at the full price. The + in the line sheet adds one more at the line's own price.
- Happy hour is a price, not a discount: it never shows as a Discount on the check, the close or the reports. A discount works from the happy-hour price (10% off a $60 happy-hour drink is $6), and a comp gives away what the line was charged. Reports count the line at the price charged.
- Custom drinks are never priced by an override: their builder decides what they charge, and it offers each menu drink at its own price. The Product picker leaves custom drink tiles out. An override whose product later became a custom drink charges nothing, marked "(custom drink)" on the list, and saving it is refused: "Custom drinks are priced by their builder on the iPad — pick another product".
If an override can't be saved
The dialog, and the save, refuse an override that isn't complete:
- "Give the override a name", "Pick a product", "Enter a valid price", "The special price can't be below $0".
- "Set both a start and an end time, or leave both empty for all day" and "The end time can't be the same as the start time".
- "The end date can't be before the start date".
An override whose product was archived stays on the list, marked "(archived)" after the product's name. It charges nothing while the product is archived, and applies again once the product is restored.
Note
Happy-hour prices need the iPads on Barform 1.2.0 (47) or later. An iPad on an older version charges every product its own price, even during happy hour. You can see each iPad's version in Settings › Devices (see Pair and manage iPads).
Change many prices at once
The Bulk price update changes the own price of many products at once — by a percent, by an amount, or to one price — with a preview before saving and a 10-second Undo after. It changes the products' prices for good, and the change reaches the iPads at once.
Who can do this: admins and managers.
- In the back office, go to Menu › Pricing. In Bulk price update — "Pick products, then raise or lower them by a percent, by an amount, or to one price." — click Change many prices.
- Narrow the list with Search and the category list (All categories or one category).
- Tick the products to change, or tick the box in the header to select every product listed. Your selection stays when you change the search or the category, so you can build one across categories.
- Pick the Mode: Percent change, Amount delta (MXN) or Set price (MXN).
- Type the value in Percent (e.g. -10) or Amount (MXN).
- Click Preview and apply to X.
- Check the preview: it asks "Apply … to X product(s)?", says "Menu prices change at once on every iPad." and lists up to eight products as "old price → new price", then "and X more". Click Apply.
- "Updated X product(s)" appears, with Undo for 10 seconds.
To undo, click Undo on that notice within 10 seconds: "Prices restored on X product(s)". To close the box without changing anything, click Cancel.
The open box reminds you of the difference: "Changes apply to the menu price at once. For time-windowed pricing, use Happy hour & overrides above." A bulk update changes the products' own prices; a happy-hour price leaves them alone.
How the new prices are worked out
- Percent change: new price = old price × (1 + percent ÷ 100), rounded to the centavo. 10 raises prices by 10%; -10 lowers them by 10%.
- Amount delta (MXN): new price = old price + the amount.
- Set price (MXN): every chosen product gets that price.
- Every result stays between $0 and $1,000,000.
- The preview shows exactly what will be saved.
- Only live products are listed, not archived ones.
- Products are saved one by one, and the notice counts the ones that saved.
- Undo puts back each product's price from just before the change, overwriting any edit made to those products in between.
- Lines already rung up keep their price.
- Nothing records the change once the notice closes: there's no history of bulk changes.
Limits
- Amount delta (MXN) can't lower prices: a negative amount such as -10 shows "Enter a valid amount in MXN". To lower prices, use Percent change or Set price (MXN).
- In Percent (e.g. -10), use a dot for decimals: 2,5 is read as 2. Type 2.5.
- Other messages: "Enter a valid percent (e.g. -10)", "Select at least one product". With nothing found, the table says "No products match."
- The search here matches the English name only, not the Spanish name or the SKU.
Warning
After the 10 seconds, the only way back is another change, and the opposite percent doesn't return exactly to the old prices: +10% and then -10% leaves a price 1% lower than it was. Use Set price (MXN) or the product sheet to put exact prices back.
