Income

The money that arrived in a period, by service day or month — VAT split out, tips held apart, tenders, credit and debit, customer accounts, and exports.

On this page

Income is the report for your accountant: the money that arrived in a period, by service day or by month, with VAT split out, tips held apart, how it was paid, customer accounts, giveaways, voids and drawer movements — plus CSV and PDF exports. It counts money on the day it was taken, which is a different basis from Today and Sales.

Who can do this: admins and managers.

What Income counts

Income answers "what did we take, when, in what form, and how much of it is VAT".

  • Money received. Each payment counts on the service day it was taken, not on the night its tab was opened. VAT is due when the venue is paid, which is why Income stays on this basis.
  • Customer accounts. A tab charged to an account isn't income: it's money still owed to you. Money paid into an account is income on the day it arrives, whichever tab it pays for — or none yet, when the customer pays ahead.
  • Tips are shown, but they're held for staff and aren't income.

The Notes card at the bottom of the page, and the PDF, state the same basis in three notes: "Income follows the payment: each payment counts on the service night it was taken, so a tab paid after midnight counts on that night.", "Tips are held for staff and are not income. A tab charged to a house account is a receivable: it becomes income the day the account is paid, under "Collected on house accounts"." and "Each bill's VAT follows its payments in proportion; VAT on account collections is taken at the venue rate."

Read a period

  1. In the back office, go to Reports › Income. It opens on This month.
  2. Click a quick range — Today, Yesterday, This month, Last month, This year, Last year — or set From and To.
  3. Read the three headline cards: Net sales, Tips and Customers.
  4. Read Collected by tender.
  5. Read Card by type.
    • At a venue that takes deposits, the Deposits card follows, for a period with any deposit (see Booking deposits).
  6. Read the four small cards: House accounts, Discounts and comps, Drawer movements and Voids.
  7. Read the period table: By service day, or By month when the range covers more than one calendar month. Click Show discounts, comps and drawer movements for four more columns.

Net sales, VAT and tips

Net sales is the money that arrived in the period, after discounts, with VAT inside and tips left out: "Money that arrived in the period, after discounts, with VAT inside. Tips excluded." It adds up:

  • the payments that weren't charged to a customer account,
  • plus the money collected on customer accounts, cash and card, on the day it was received,
  • minus the tips paid to staff out of a customer's prepaid credit,
  • plus the booking deposits groups paid online, minus the deposit refunds sent (see Booking deposits),
  • plus any nights imported from TouchBistro.

When some tips were paid from account credit, a line under Net sales shows them: "less: tips paid from account credit" — "Money received earlier as an account collection and booked then; paid to staff as a tip tonight — not income of this period."

Under Net sales are VAT (IVA) and Net of VAT:

  • Each bill's VAT is shared across its payments in proportion to each payment's amount, on the days of those payments.
  • Money collected on accounts has no bill, so its VAT is taken out at your venue's rate: amount − amount × 100 ÷ (100 + rate). At 16%, a $1,160.00 account payment carries $160.00 of VAT. Imported TouchBistro nights are handled the same way.
  • Net of VAT is Net sales − VAT.
  • A note under the card says how your prices treat VAT: "Prices include VAT (16%): the VAT figure is the share inside each payment." or "Prices exclude VAT (16%): it is added at the bill, so sales include it as paid."

Tips — "Held for staff — pass-through, not income." — adds up the tips on the period's payments, the tips paid from account credit (on the day they were taken), the tips paid from booking deposits and the tips of imported nights.

Customers shows Bills and Parties, each with a line saying what it counts:

  • Bills — "Bills: payments taken in the period. A tab charged to a customer account is not one, nor is money paid into an account." A tab paid in two parts is two bills.
  • Parties — "Parties: the different tabs those payments belong to."

Imported nights add their own. Today and Sales count bills differently — there, a tab on a customer account with money paid on it is a bill too — so the two Bills figures can differ for the same night. The PDF carries the same line under Bills.

Collected by tender

Each tender with its Amount, Tips and Count, and a Total row.

  • Amounts and counts follow each bill's tender. Tips are listed against the tender they arrived on: a card bill can leave a cash tip.
  • Account collections (cash) and Account collections (card) are the money paid into customer accounts. Their (i) reads "Money received against customer accounts — this is where a charged tab becomes income, the day it is paid. Included in net sales."
  • Charges to customer accounts aren't a tender here: no money was received.
  • At a venue that takes deposits: Online deposits — the deposits groups paid online — and Deposit refunds, a negative amount. A deposit spent on a bill isn't a tender here: that money arrived when the deposit was paid.

Card by type

Credit card, Debit card and, when there is some, Card (type not recorded), each with Amount, Tips, Count and Account collections (card).

  • Amount is the card payments that weren't charged to an account, by the type recorded when the card was charged.
  • Tips are the tips left on those card payments. A cash tip on a card bill isn't here.
  • Account collections (card) is card money paid into accounts, by its type. Payments into accounts taken on the iPad always carry a type; card credits added in the back office (Paid by customer by card) don't.
  • Card (type not recorded) is card money taken before the iPad started asking for the type, from an iPad that hadn't been updated, or added in the back office as Paid by customer by card. Nothing can add a type afterwards.

The hint under the table reads "Credit and debit as recorded at the terminal since the split. Type not recorded is card money taken before it, or from an iPad that has not updated yet."

House accounts

  • Charged to house accounts — "New receivables — tabs charged to a customer account in the period. Not money received, so not income." The amount charged, without tips, on the day of the charge.
  • Collected on house accounts — the cash and card collected on customer accounts, included in Net sales. Money recorded in the back office as Paid by customer is income on the day it was recorded; it belongs to no drawer, so it's on no Z.
  • Comp credit granted — shown when it isn't zero. Courtesy credit, never money and never income.

For how accounts work, see Customer accounts.

Discounts, comps, voids and drawer movements

  • Discounts — "Knocked off bills in the period — on the day each payment or charge to a customer account was taken, or the day a $0 bill closed. Already outside net sales." Each bill's check discount plus its line discounts:
    • It's shared across all of the bill's payments by amount — cash, card, any other tender and charges to a customer account — each on the service day it was taken. A tab charged to an account carries its share on the day it was charged, not on the day the account is paid later.
    • A bill closed at $0 (Close — no charge after a 100% discount, or line discounts down to nothing) has no payment to carry it, so its whole discount counts on the day it closed.
    • The shares of a bill paid in full add up to its discount to the centavo. A bill paid only in part adds the share of what was paid.
    • A comp isn't a discount: a bill comped down to $0 adds nothing here, and its value is under Comps. A voided bill adds nothing.
  • Comps, with their count — "Tabs or lines given away entirely (also counted as voids)." On the day the comp was given.
  • Voids, with their count — "Lines removed from tabs opened in the period, at what they would have sold for." On the night the tab was opened, at list price. Everything recorded as a voided line is included: mistake voids, comps (a comp is recorded as a voided line), lines deleted before they were sent, and the old line when an unsent line's options were changed. The count is lines, not drinks.
  • Drawer movements — Paid in and Paid out: cash put into or taken out of a drawer, on the service day it was recorded. "Cash put into or taken out of a drawer — context for the cash count, not income." The opening float isn't a movement and isn't here. Cash moved between the drawer and the safe (From the safe, To the safe) is one of these like any other: cash that moved, never income. See Cash drawer.

Booking deposits

At a venue that takes deposits from large groups (see Deposits for large groups), a deposit is income on the day the guest paid it online, with its VAT taken out at your rate — like money paid into a customer account. A refund is money out on the day Stripe sends it.

  • A deposit spent on a bill isn't new income, and it isn't a bill, a party or a tender here: the money arrived when the deposit was paid.
  • A tip staff took out of a deposit is in Tips, and it comes off Net sales with its share of VAT: "Less: tips paid from deposits", under Net sales.
  • Keeping a deposit changes nothing: it was income when it arrived.

For a period with any deposit, the Deposits card — "A deposit is income on the day it's paid online; a refund is money out on the day Stripe sends it." — shows:

Figure What it shows
Received online Deposits paid online in the period, with how many.
Refunded Deposit refunds sent in the period, with how many.
Tips paid from deposits Tips staff took out of deposits.
Applied to bills "Paid with deposits received earlier — not income of this period."
Kept "No-shows, late cancellations, leftovers the bar keeps and deposits a manager kept — already income when received."
Held at the end of the period "Received, not yet used, refunded or kept."

For example, with prices that include 16% IVA: a $2,400.00 deposit paid on Monday is $2,400.00 of Net sales on Monday, with $331.03 of VAT. When the group spends it on Saturday on a $3,000.00 bill and pays $600.00 by card, Saturday has $600.00 of Net sales and $2,400.00 Applied to bills. The two days together carry the bill's VAT.

The period table

  • The table is By service day. As soon as the range touches two calendar months it's By month: "Any range covering more than one calendar month is grouped by month. The figures are the day rows added up, so they agree with the totals above." When the first or last month is cut short, it adds "The first and last month cover only the part of the month inside the period."
  • Days with nothing show as zero, up to today. The Total row is the report's own totals, the same as the cards above.
  • Columns: Day (or Month), Bills, Net sales, VAT (IVA), Tips, Cash, Card, Other (only when some row has another tender), House account (charged that day), Collected on house accounts and Deposits — deposits received less refunds sent, only when some row has one. Show discounts, comps and drawer movements adds Discounts, Comps, Paid in and Paid out.
Setting Default What it changes
Tax rate (%) (Settings › Venue › Taxes) 16 The VAT figure, and the rate in the note under Net sales.
Tax-inclusive pricing (same card) On Which note the Net sales card shows. With prices that don't include VAT, the VAT is added at the bill and sales include it as paid.
Service time (Settings › Hours & scheduling) 6:00 AM Which day a payment after midnight lands on. Keep it at an hour when the bar is always shut (see Venue settings).
Timezone (Settings › Venue) Mexico City Every date is your venue's local date.

Warning

The VAT on money collected on accounts, and on imported TouchBistro nights, is worked out at your current tax rate every time the report runs. If you change the rate in Settings › Venue, those past figures are split again at the new rate. The VAT on ordinary payments comes from each bill as it was recorded and doesn't move.

Export for your accountant

  1. Click Export at the top right. It's greyed out when the period is empty.
  2. Choose one:
    • Export summary — a file with one line per figure, in this order: Period, Net sales, less: tips paid from account credit, VAT (IVA), Net of VAT, Tips, Gratuities, Bills, Parties, one line per tender, then for each card type its amount, its tips and (when not zero) its account collections; then Charged to house accounts, Collected on house accounts, Deposits received online, Deposits refunded, Less: tips paid from deposits, Deposits applied to bills, Deposits kept, Deposits held at the end of the period, Comp credit granted, Discounts, Comps, Voids, Paid in and Paid out. Amounts are in pesos with two decimals; the deposit lines are always there, at zero when you take no deposits, and refunds are negative numbers your spreadsheet can add up.
    • Export daily or Export monthly — one row per day or month, with these columns: Day (or Month), Bills, Net sales, VAT (IVA), Net of VAT, Tips, Tips from account credit, Cash, Card, then Credit card and Debit card (and Card (type not recorded) when some row has card money without a type), Other, House account, Account collections (cash), Account collections (card), Deposits received, Deposits refunded, Tips from deposits, Deposits applied, Deposits kept, Discounts, Comps, Voids, Paid in and Paid out. Days are written like 2026-10-03 and months like 2026-10. The card-type columns are each row's Card figure split by type.
    • Download PDF — the same sections as the screen: the headline figures, tenders, Card by type, house accounts, discounts and comps, voids, drawer movements, a Deposits panel for a period with any deposit, the period table (with its Deposits column when the screen has one), and "Card by type, day by day" (or "month by month"). It's titled "Income report" with your venue's name and the dates, says "Generated" with the date in your venue's time zone, and "Prepared by Barform POS". It ends with the basis notes, as the page does.
  • If the card split by day can't be loaded, the daily or monthly file and the PDF leave the card-type columns out rather than printing zeros.
  • Gratuities is always 0.00: Barform has no automatic service charge.

Why Income and Sales differ

Income won't match Today or Sales for the same dates. The differences come from:

  • Tabs paid after your service day turned over. Income uses the day of the payment; Sales uses the night of the tab. A tab opened on Friday at 11:00 PM and paid on Saturday at 5:00 PM, with a 4:00 PM service time, is Friday's sale on Sales and Saturday's income on Income.
  • Customer accounts. Sales counts a charged tab on its own night, once and as far as the account has paid for it. Income counts the money on the day it's collected, including money paid ahead that no tab has used yet.
  • Tips paid from account credit. Income takes them out of income on the day they were taken; on Today they're tips on the tab's night.
  • Bills. Income counts the payments taken. Today and Sales also count a tab on a customer account once money has been paid on it.
  • Booking deposits. Income counts a deposit on the day it was paid online and a refund on the day it was sent. Today and Sales count a deposit spent on a bill as a sale of the tab's night, and show the rest under Net sales.
  • Discounts. Income shows the money knocked off every bill, on the day each payment or account charge was taken. Today's and Sales' Discounts & voids counts how many checks got a discount, on the day it was applied.

How each number is counted shows the reports side by side, with a worked example.
