Check history

Find a settled check, see it exactly as it prints, reprint it, or open its payments to correct one — the only way to reopen a check.

On this page

Check history is the iPad's record of settled checks. You find checks by when they closed, see each one exactly as it prints, reprint it, and open its payments to correct one. Opening the payments is also the only way to reopen a settled check.

Who can do this: managers and admins. The Check history tile only appears in More when a manager or admin is signed in, and there is no manager-PIN way in. Because only managers get here, a payment correction made from Check history never asks for a PIN: the signed-in manager approves it.

How the corrections themselves work is in Payment corrections, and the printer and receipt design are in Printing and receipts. In the back office, Service › Payments lists payments rather than checks.

Find a check

  1. Tap ··· in the top bar, then Check history. The sheet is titled Bill / Guest Check History; Close is at the top left.
  2. It opens on the last 24 hours, already searched. The list is on the left.
  3. To look at another period, set From and To — each a date and a time — and tap Search. It reads Searching… while it works.
  4. Each row shows:
    • the table's name, or the guest's name, or # and four characters of the check's number;
    • the day and time it closed, and the server's short name;
    • the check's total.
  5. Above the list, a summary reads, for example, "12 bills · $8,450.00 · 31 guests".

What the list includes

  • Checks that were settled (paid) with a closing time between From and To, both included. The period is the times you set, not the service day. The default is the 24 hours before the sheet opened.
  • A check paid entirely to a customer account is settled, so it is listed too.
  • Newest first, at most 300 per search. When that limit is reached, the list ends with "Showing the most recent 300 bills." Narrow the period to see the rest.
  • Each row's total and the summary's total are check totals without tips. Guests is the sum of the checks' guest counts.
  • Only checks settled in Barform are listed: history imported from TouchBistro isn't. Checks voided as a whole aren't listed either.
  • To is set to the moment the sheet opened. A check settled after that only appears if you move To later and search again.
  • The table's name comes from the floor plan as it is now. If the table has since been archived, the row shows the guest's name or the # number.
  • With no results: "No bills in this range." A search that fails shows "Error:" and the reason.

See a check

  1. Tap its row.
  2. "Loading the bill…" may show for a moment. The newest check is loaded ahead, so it usually appears at once.
  3. The right side shows the receipt as the printer prints it, with a "———— REPRINT ————" line at the top and the bottom.

The receipt shows:

  • the check's lines that weren't voided, with only the options that changed the price — and, while the receipt's Comped lines option is on, its comped drinks with "comp" in place of a price;
  • discounts, subtotal, IVA, tip and total;
  • for a check paid in one payment, the payment method — plus the account's name if it was charged to a customer account (account balances are never shown);
  • for a check paid in several payments, every payment, oldest first, each with its tip on an indented line, as the closing receipt prints them. The tip and the total carry every payment's tip;
  • the time the check closed. A reprint never puts today's date on it.

A cash payment shows as its method and amount ("Cash $X"): the cash handed over and the change aren't kept, so they can't be reprinted.

On screen the logo is left out; it only shows on the paper.

Reprint a check

  1. With the check showing, tap Reprint.
  2. The line above the buttons says "Reprint sent to the printer.", or shows the printer's problem in red.
  • A reprint never opens the cash drawer, and it isn't recorded anywhere.
  • A reprint is laid out with the receipt design this iPad loaded at its last sign-in — header, footer, logo, layout and venue details — not with the design in force when the check first printed.
  • If a check has no server on record, the reprint names whoever is signed in as the server.
Setting Default What it changes
POS printing (back office, Settings › Venue › iPads and service; admins) Off for a new venue When it is off, Reprint says "Printing is paused (admin setting)."
Receipt printer for this iPad (iPad, ··· › This iPad › Receipt printer) — With no receipt printer set, Reprint says "No receipt printer configured."
The receipt design and the venue's details (back office, Settings › Receipt and Settings › Venue) — What the receipt on screen and the reprint look like.

Correct a payment or reopen a check

  1. With the check showing, tap Payments….
  2. The Payments taken sheet opens for this check. Void a payment or change a tip — a house-account payment's too — as described in Payment corrections.
  3. If you void a payment and what is left no longer covers the check, the check reopens:
    • the payments sheet closes;
    • the check leaves the list, because it is no longer settled;
    • it is back on the floor, on its table.
  4. Go to the table and charge it the right way. See Taking payment. Its drinks went back on stock when it reopened; paying it again takes off whatever is on it then.
  5. If the check stays settled — a duplicate payment was voided, or a tip changed — the list is searched again and the receipt on screen is rebuilt from the check's payments as they are now. It, and a reprint made straight away, show the new tip and total.
  • There is no reopen button. The only way back to the floor is to void a payment so that what is left no longer covers the total.
  • Payment corrections are refused once the day that took the payment is closed. Only checks from the current open day can be corrected; older ones can still be found, seen and reprinted.
  • Undoing a void never works from here: every check in this list is settled, and a settled check takes no payment back. See Payment corrections for where to undo one.
  • A check can't reopen while its table already has a new open check: "This table has a new check open — close or move it before reopening this one."
  • A check reopened by a void and then paid again comes back to the list with its new closing time, and its receipt is dated with that new time too.

The line under the Check history tile

Under the Check history tile in More, one line shows how many checks have been settled so far today and their total, for example "3 checks today · $1,240.00". It is only read for managers and admins.

  1. Open More (···). The line loads when More opens.
  • It counts the settled checks closed since the current service day began, and adds up their totals without tips. One check reads "1 check today"; none reads "0 checks today", with no total.
  • It isn't the same count as Today in the back office. Today puts a check on the night its tab was opened; this line counts checks by when they closed. A tab opened last night and closed after today's start counts here today. See Today.
  • A check reopened by a payment void drops out of the line until it is paid again.
  • The line isn't refreshed when you close Check history — for example after a void reopened a check. Close More and open it again to update it.
  • If the line can't be read, the tile shows no line. The tile still works.
Setting Default What it changes
Service time (back office, Settings › Hours & scheduling; admins) 6:00 AM for a new venue Where "today" starts: the venue's service-day start, in the venue's time zone.
