Sales
Net sales over any range of nights, night by night, with the same figures as Today — plus custom drinks made, voided payments and bills that don't add up.
On this page
Sales shows the same figures as Today over any range of nights, with a chart night by night, the custom drinks you made, and two checks: voided payments, and bills whose payments don't match their total. Every figure counts on the night the tab was opened, exactly as on Today. For money on the day it arrives, with VAT split out, use Income.
Who can do this: admins and managers.
Look at a range
- In the back office, go to Reports › Sales. It opens on the last 30 days.
- Click a quick range — 7 days, 30 days, This month, Last month, This year, Last year — or set From and To.
- Read the heading (the dates) and its note: "N nights, N with sales", or for long ranges "N months, N nights with sales".
- Read the four figures: Net sales, Guests, Per guest and Tips. They mean exactly what they mean on Today, with the same lines under them — the booking deposit lines included, at a venue that takes deposits: "includes $X paid later through accounts" when some of the range's account money arrived after its tabs' nights, then what Bills and Parties count — "Bills: each payment on these nights' tabs, plus each tab on a customer account with money paid on it." and "Parties: the tabs that sold. Guests: their guest counts (a tab with none counts as 1)."
- Read the chart Net sales by night, or Net sales by month for long ranges.
- Under it: Top sales categories, Top menu items and Tender types. Servers, discounts and voids opens Top servers and Discounts & voids. These panels work as on Today.
- For every item, not only the top ten, click See all items under Top menu items. Items sold opens on the same range.
The page sums itself up under its title: "Net sales over a range, night by night, with the same figures as Today. Income counts money on the day it arrives."
- The figures, the panels and the chart follow Today's rules: a sale belongs to the night its tab was opened, and a tab charged to a customer account counts for the part the account has paid. See Which night a sale counts on.
- Each column of the chart is one night's Net sales, so the columns add up to Net sales.
- The chart has one column per night for ranges up to 92 nights, and one per month beyond that.
- Nights with no sales show as zero, up to today and never past it: a This year range doesn't draw the months still to come.
- Nights imported from TouchBistro are included on the same definitions.
- Past nights can change after the fact: when an account pays for an old tab, that tab's night goes up, and the line under Net sales says how much of it was paid later through accounts. Voiding an account charge, payment or credit, undoing such a void, or moving a charge to another account can change them too.
- In Tender types, the Card line is split into Credit, Debit and, when there is some, Type not recorded, exactly as on Today: the card money of the tabs opened in the range, on the same basis as Net sales. If the split can't be read, the Card line shows without its parts. For card money by the day it arrived, use Card by type on Income.
- Discounts & voids counts the checks that carry a discount, once each, as on Today.
| Setting | Default | What it changes |
|---|---|---|
| Service time (Settings › Hours & scheduling) | 6:00 AM | Where one night ends and the next begins. Keep it at an hour when the bar is always shut (see Venue settings). |
Export the nights
- Click Export CSV at the top right. It's greyed out when the range has no sales.
- The file has two columns: Day — or Month for long ranges — and Net sales (MXN). There is one row per night, as a short date such as "Sep 30" (or one per month, such as "Sep 2026"), with pesos to two decimals.
Custom drinks made
When the bar has made drinks off the menu with the iPad's custom drink builder, Custom drinks lists them for the range: each name they were rung with, how many, what they brought in and the average price. A venue that never rings one never sees this section.
- Open Reports › Sales and pick the range.
- Find Custom drinks: "Made off the menu: N · $X".
- Read the table: Drink, Made, Sales and Average price, with a Total row.
- It counts custom drink lines on checks that are paid, whose tab was opened inside the range. Voided lines (mistakes and comps) are left out.
- Sales for a line is quantity × (price + option prices), less the line's own discount — the same as the item panel. A discount on the whole check isn't taken off.
- Drinks are grouped by the name they were rung with (for example "Paloma with reposado tequila"), ignoring capitals and extra spaces. The name shown is the spelling used most often.
- The drinks made most come first, then the ones that brought in most, then by name.
- Average price is Sales ÷ Made, rounded to the centavo.
- Only paid checks count. A check still open, or partly paid, is added once it's paid.
- A check closed to a customer account counts as paid, so its custom drinks are listed even before the account pays — unlike Net sales, which waits for the money.
- If the list can't be read, the section says "The custom drinks could not be loaded." and the rest of the page still shows.
See Custom drinks for the builder itself.
Voided payments
At the foot of the page, Checks lists every payment voided in the range and every paid bill whose payments don't equal its total. Each is one quiet line when there's nothing to show.
- Open Reports › Sales, pick the range and scroll to Checks.
- Voided payments shows "N voided · $X" and a table:
- Voided — when it was voided.
- Order — the table name, or else the guest's name, or else "#" and four characters of the check's reference. "check reopened" beside it means the void reopened a check that had been paid.
- Tender — Cash, Credit card, Debit card, Card, House account or Booking deposit.
- Total — with "+ tip $X" when it carried a tip.
- Taken by, Voided by and Reason.
- With nothing voided you see "No voided payments in this period."
Payments are listed by when they were voided, inside the range's service days. A voided payment has already left every figure above it on the page. Voids, tip changes and undoing a void are done in Payment corrections, not here.
Bills that don't add up
Under the voided payments, Payment reconciliation lists paid checks whose payments don't equal the check's total.
- Read the table: Order, Closed, Total, Collected and Difference, marked "over" (a refund is due) or "short" (undercharged).
- When everything matches you see "All N paid bills reconcile: the payments equal the bill."
- It looks at paid checks that closed inside the range and adds up all their payments — including payments taken before the range, and charges to customer accounts. Any difference other than zero is listed, largest first.
- It runs only for ranges of 92 nights or fewer. Longer ranges say "Payment reconciliation runs on ranges up to three months."
- With no paid checks in the range you see "No paid orders in this period."
- The order reference is "#" and the last four characters of the check's reference, not a printed bill number.
How Sales compares with Income
Sales and Today use the same rules, so the same nights give the same figures on both. Income counts money on the day it arrives instead, so for the same dates its Net sales won't match when:
- tabs were paid after your service day turned over (Income counts the day of the payment, Sales the night of the tab);
- customers paid their accounts (Sales counts the paid part on the tab's night; Income counts the money on the day it came in);
- tips were taken from account credit (Income takes them out of that day's income).
The two pages also count Bills differently: Sales counts a paid account tab as a bill, Income counts only the payments taken. See How each number is counted.
