Printing and receipts

Set up receipt, bar and kitchen printers, choose where each paper prints, design the receipt, and see everything the iPad prints and when.

On this page

The iPads print straight to receipt printers on your venue's network, and open the cash drawer through the receipt printer. The back office decides which printers exist and where each kind of paper goes; nothing prints from the back office itself. This page covers setting printing up, the receipt design, and every paper the iPad prints: receipts, bills, prep tickets, account slips, the Z-report and test pages. What the Z-report contains is in Closing the day.

Set up printing for the first time

  1. Plug the printer into your venue's network — the same network as the iPads. Give it a fixed address in your router (a static IP or a DHCP reservation): the iPad stores the printer's IP address, so a printer whose address changes stops printing until its address is updated.
  2. Add the printer, either:
    • in the back office: Settings › Printers › New printer, with its IP address (see Add a printer); or
    • on an iPad, signed in as an admin or manager: ··· More › Receipt printer › Find Printers, then Add.
  3. In Settings › Printers › Where things print, set Receipts & bills to the printer at the till. Leave Z-report at shift close on Automatic unless the Z should print somewhere else.
  4. In Menu › Categories, edit each category whose items need a prep ticket when they're sent, and set Prints ticket at. Categories start with No ticket.
  5. In Settings › Receipt, upload your logo, fill in Legal / business name and Tax ID (RFC), choose what prints, and click Save receipt settings.
  6. An admin turns on POS printing in Settings › Venue › iPads and service, and chooses Auto-print receipts. A new bar starts with both off.
  7. On each iPad, sign in (sign out first if someone is signed in). The printing switches, the receipt design and the logo all load at sign-in.
  8. On the iPad, tap ··· More › Receipt printer › Test Print. The first time the app reaches your network, iOS asks for permission to use the local network: allow it.
  9. Ring up a test tab and tap Send — each routed printer should print its ticket — then charge it: the receipt should print.

What prints, where

Paper When Printer With Auto-print receipts off
Receipt A check is fully paid, or a $0 check is closed Receipt printer Waits for a tap (a $0 close then prints nothing)
Seat receipt A seat's payment is taken Receipt printer Prints anyway
Bill, seat bills, split bills Print bill on the check Receipt printer Prints (you asked for it)
Prep ticket Send, for the lines just sent The category's printer Prints anyway
Account slips A payment into an account, a comp credit, part of a check charged to an account Receipt printer Prints anyway
Z-report Closing the day, and Print on the Z Z-report printer, otherwise the receipt printer Prints anyway
Test page Test Print The printer you choose Prints (you asked for it)
Reprint The completion card, Check history Receipt printer Prints (you asked for it)
Drawer kick (no paper) A cash payment, No Sale, Cash In / Out, a cash payment into an account Receipt printer Still opens

With POS printing off, none of these print.

"The receipt printer" means, on each iPad: that iPad's own Receipt printer (this iPad), if one is set; otherwise the venue's Receipts & bills printer; otherwise the Receipt printer marked as the default; otherwise any Receipt printer. If there's none, nothing prints, and ··· More › Receipt printer reads "No printer".

When changes reach the iPads

  • Printers added, edited, turned off or deleted, and the two Where things print choices: at once, while the iPad is online.
  • A category's Prints ticket at: at once.
  • POS printing and Auto-print receipts: at the iPad's next sign-in.
  • Legal / business name, RFC, the address, the phone and the tax settings: at the next sign-in.
  • The receipt design — every switch, the header and footer lines, the QR, the paper width, the cash-drawer switch — and the logo: at the iPad's next sign-in. The logo is downloaded again only when a new one was uploaded. If the iPad can't read the design at a sign-in, it keeps the one it had and tries again at the next.

What printing needs

Warning

Barform's printing is tested on the Epson TM-m30II with 80 mm paper. Ask Barform at access@barformpos.com before you buy any other printer, or plan to print on 58 mm paper.

  • Network printers only. Choose Network (LAN) as the connection: the iPads don't print to Bluetooth printers.
  • The iPad sends standard ESC/POS printer commands over the network, on port 9100 unless you set another.
  • The iPad must reach the printer's address directly. An access point that isolates Wi-Fi clients blocks it, and an iPad on a different network range from the printer is the most common reason for a printer "not responding".
  • Printing goes from the iPad straight to the printer and doesn't need the internet. (Taking payments does.)
  • The iPad can't tell when a printer is out of paper or has its cover open. It only knows whether the printer took the job within 8 seconds.
  • One paper width applies to every printer of the venue, kitchen and bar printers included. It's set in the receipt design.

Add a printer

Who can do this: admins and managers. Anyone else sees "Only admins and managers can manage printers."

  1. In the back office, go to Settings › Printers and click New printer.
  2. Name: required, up to 80 characters. Use the station's name, such as Bar or Kitchen: staff read it on the iPad, and it heads every prep ticket.
  3. Type: Receipt, Kitchen or Bar. It starts on Receipt.
  4. Vendor: Epson, Star or Other / generic ESC-POS. This is for your reference: every printer gets the same commands.
  5. Connection: choose Network (LAN).
  6. Model (optional): free text, up to 80 characters, such as TM-m30.
  7. IP address, such as 192.168.1.50, and Port, which starts at 9100.
  8. Optional: Default for {type} jobs (see below).
  9. Click Add. "Printer added".
  • IP address takes an IP address or a host name, optionally followed by :port, up to 60 characters. Anything else: "Enter a valid IP address or hostname." If the address ends in :port, that port wins over the Port field. A blank Port means 9100.
  • Type matters only for the automatic receipt printer, and as a label. Any active printer, of any type, can be chosen for receipts, for the Z, for a category's tickets, or as an iPad's own receipt printer.
  • Default for Receipt jobs: when Receipts & bills is on Automatic and an iPad has no printer of its own, receipts go to the Receipt printer marked as the default. Only one printer of each type can be the default. On a Kitchen or Bar printer the switch does nothing: tickets go only where a category sends them.
  • Nothing stops you from adding the same address twice, so check the list first.

Edit, turn off or delete a printer

The list shows each printer's name, type, IP address (or "No IP set") and Active switch, sorted by name. With no printers, it says "No printers configured."

  • Edit: click the pencil (Edit), change anything in "Edit printer", and click Save. "Printer updated".
  • Turn off: switch Active off on its row; it saves at once. An inactive printer gets nothing. If it was the Receipts & bills or Z-report printer, the iPads fall back to Automatic. If a category sends tickets to it, those items print no ticket, and the iPad says "Some items route to a deactivated printer — their ticket was not printed."
  • Delete: click the bin (Delete) and confirm "Delete "{name}"?". "Printer deleted". Deleting is permanent: categories that printed there go back to No ticket, and a choice in Where things print that used it goes back to Automatic.

A printer added with Find Printers on an iPad arrives as a Receipt printer on the network, with the address the scan found. Its name is what the printer announces, or the bare IP address: rename it here.

Tip

If a printer's address changes, printing to it fails until you correct its IP address here, or find it and add it again from the iPad.

Choose where receipts and the Z print

The Where things print card at the top of Settings › Printers holds two venue-wide choices. They save as you pick; if a save fails, the choice goes back with an error. "Per-category ticket routing (bar, kitchen) is set on each category under Menu → Categories."

Who can do this: admins and managers.

  • Receipts & bills — receipts, seat receipts, every kind of bill, account slips, reprints and every drawer kick. Pick a printer (shown as "Name (Type)") or Automatic (default receipt printer).
  • Z-report at shift close — "Prints the shift's Z-report as the drawer is closed." Pick a printer, or Automatic (receipt printer) to use the receipt printer of the iPad that closes the day.

Only active printers are offered. One printer can do both jobs and print a category's tickets too.

Warning

If your only printer is a Kitchen or Bar printer and Receipts & bills is on Automatic, no receipts print and the drawer doesn't open: Automatic only looks at Receipt printers. Choose the printer in Receipts & bills, or change its type to Receipt. With several Receipt printers, always choose one in Receipts & bills.

Send prep tickets by category

Each menu category can print a prep ticket at one printer when its items are sent from the iPad — cocktails to the bar, food to the kitchen. A category set to No ticket prints nothing.

Who can do this: admins and managers.

  1. In the back office, go to Menu › Categories.
  2. On the category, open its actions (···) and choose Edit.
  3. Under Prints ticket at, pick a printer, or No ticket. "On Send, newly-fired items in this category print a prep ticket at the chosen printer. "No ticket" prints nothing."
  4. Click Save. "Category updated". The category's row now shows a printer icon and the printer's name.
  • Tickets are set per category, never per product. Every new category starts on No ticket, so nothing starts printing by surprise.
  • A custom drink prints by the category of the custom drink tile it was rung on, not by the drink it was based on.
  • A category sent to a printer that was later turned off looks unrouted in the back office (no printer name), while each Send on the iPad warns that its ticket wasn't printed. Turn the printer back on, or route the category again.

Turn printing on or off

Who can do this: admins.

Two switches in Settings › Venue › iPads and service › The iPads. They save as you change them, and reach each iPad at its next sign-in: sign out and back in on each iPad.

  • POS printing — "Send receipts, tickets, Z-reports and drawer kicks to the printers. Off while testing away from the printer network." Off, the iPads send nothing to any printer.
  • Auto-print receipts — "Print a receipt as each check settles. Off, receipts print only when tapped; the drawer still opens."

With POS printing off:

  • receipts, seat receipts, prep tickets, partial account-charge slips, the Z at close and the drawer kicks are skipped without a message;
  • Test Print, Print bill, the completion card's Reprint or Print receipt, Check history's Reprint, the Z's Print and No Sale say "Printing is paused (admin setting)." — and on the completion card, if printing was already off when the payment settled, "Nothing to print — printing was off when this payment settled.";
  • slips for a payment into an account or a comp credit say "Printing is paused — the deposit receipt was not printed." or "Printing is paused — the credit slip was not printed.";
  • ··· More › Receipt printer reads "{printer} · paused", and the top bar's printer-offline note clears.

With Auto-print receipts off:

  • a settled check prints nothing until someone taps Print receipt on the completion card;
  • a cash payment still opens the drawer, when the receipt design's Open the cash drawer on cash payments is on;
  • seat receipts, bills, prep tickets, account slips and the Z still print by themselves;
  • a $0 check closed as a comp prints nothing and offers no button; reprint it from Check history if you need it.

Managers can't change either switch, and the Printers page doesn't say when printing is off: if a manager adds a printer and nothing prints, check POS printing.

Design the receipt

Who can do this: admins and managers. Anyone else sees "Only admins and managers can edit the receipt."

In the back office, go to Settings › Receipt. A live preview beside the form shows a sample receipt.

  1. Under Business identity, click Upload logo (or Replace logo when there's one already).
  2. Choose a PNG, JPEG or WebP file under 2 MB: "Monochrome logos print best." It uploads at once ("Logo uploaded"); you don't need to save.
  3. To take it off, click Remove. It goes at once, without asking ("Logo removed").

On paper, the logo is scaled down, never up, to fit the paper's width and about 29 mm of height, then printed in pure black and white: darker pixels print black, and light pixels and transparency stay paper. The same logo heads the guest menu, lightened for its dark page — even when Show logo is off.

Fill in your business identity

  1. Under Business identity, fill in Legal / business name (up to 200 characters) and Tax ID (RFC) (up to 40).
  2. Click Save receipt settings.

The receipt prints the Legal / business name, never the venue's name: if it's empty, no name prints at all. The address and the phone come from Settings › Venue: "Address and phone come from the Venue tab; toggle their visibility below."

Choose what prints

  1. Use the switches under Header, Order details and Totals & payment (see the table below).
  2. Type Extra header lines and Footer lines, one line per row.
  3. Optional: under Footer & format, switch on Print QR code and paste a QR link.
  4. Pick the Paper width: 80 mm or 58 mm.
  5. Optional: under Cash drawer, switch on Open the cash drawer on cash payments.
  6. Click Save receipt settings. "Receipt settings saved". The switches and lines aren't saved until you click it (the logo is).
  7. Each iPad picks up the new design at its next sign-in. To see it at once, sign out and back in on the iPad, then check the result with Test Print.

They change no figure.
Subtotal On The Subtotal row. Never printed with tax-inclusive pricing.

Paper width 80 mm 80 mm prints 48 characters a line, 58 mm prints 32. Used for every paper every iPad prints.
Open the cash drawer on cash payments Off "Requires a drawer connected to the receipt printer." See The cash drawer.
  • Header and footer lines: blank rows are dropped and spaces trimmed. Up to 8 lines are kept, each up to 60 characters; a longer line makes the save fail with "Invalid input". The QR link takes up to 300 characters.
  • Which papers use the design: bills, seat receipts, test pages and reprints use all of it; account slips use the logo, the footer and the paper width; prep tickets and the Z use only the paper width.
  • Fonts, text size and bold can't be changed.

What the preview doesn't show

The preview uses a sample check, in the back office's language; the paper uses the iPad's language. The paper also differs from the preview here:

  • With tax-inclusive pricing, the paper has no Subtotal or IVA row above the total; it prints "Includes IVA (16%)" under TOTAL instead. The preview still shows Subtotal and IVA.
  • A cash payment prints "Cash received"; the preview says "Cash".
  • An item with a priced option prints a "Base $X" line above its options.
  • The QR's caption, "Scan to leave a review".

For an exact picture, use Test Print, or open a check in the iPad's Check history: its preview is the real paper.

What the receipt shows

From top to bottom, each line only when its option is on and there's something to print:

  1. The logo, the legal / business name, "RFC: …", the address, "Tel: …" and the extra header lines.
  2. Check — the guest's name on the tab, or "#" and the last 4 characters of the check's ID; Date; Table, when the check is on a table; Served by; Guests.
  3. The items, such as "2× Margarita $300.00". With Item modifiers on, a modified item shows "Base $180.00" (or "Base $180.00 each" when there are 2 or more), then each priced option, such as "Mezcal (+$20.00)". A line discount always adds a line such as "Discount 20% -$60.00". With Comped lines on, the comped drinks follow, such as "1× Mezcal Espadín comp".
  4. The totals: Subtotal; a whole-check discount, always; IVA; Tip, or Tip (cash) when a card payment's tip was left in cash; TOTAL; and "Includes IVA (16%)" with tax-inclusive pricing.
  5. The payment. Paid at once: for cash, "Cash received" and the amount handed over, then Change; for a card or a house account, the payment plus a tip that rode it — the figure on the card slip. Paid in several payments: every payment, oldest first, each followed by an indented tip line — "incl. tip $40.00", "tip in cash $40.00" or "tip on card $40.00". Money another iPad took while the paying iPad's sheet was open prints as one "Paid so far" row.
  6. For a check charged to a customer account, always: the account's name, the balance before and the balance after.
  7. The footer lines (or "Thank you for your visit!"), then the QR code if it's on.
  • Items print at their list price; a line discount is a sub-line of its own, so the lines add up to the Subtotal. Only options that change the price print on the receipt; free options stay off it (they still print on prep tickets).
  • Identical lines merge into one row: same name, same price, same priced options, no discount. Seat numbers aren't printed on the full receipt.
  • The card row says "Card": receipts don't say credit or debit.
  • The TOTAL is the check plus every tip its payments took, and the Tip row is the same sum, so the payment rows add up to the TOTAL.
  • Item notes never print on receipts; they print on prep tickets. Voided lines never print. Items comped on the iPad print only while Comped lines is on, with "comp" in place of a price; either way they add no discount row and change no figure.
  • A $0 check closed as a comp prints a receipt, from the check as it is at the close, whose payment row reads "Comp" $0.00, under any payments the check already had — only when Auto-print receipts is on.
  • A custom drink prints under the name its builder gave it.
  • Words follow the iPad's language, and dates spell out the month, in your time zone: "Oct 4, 2026, 9:21 PM". Money always prints as $1,234.56. IVA, "RFC:", "Tel:" and TOTAL are the same in both languages. What you typed — product names, header and footer lines, account names — prints as typed.
  • A product that was archived after it was rung prints as "Item". Long names are cut short so the amount always fits on the line.

When a payment settles a check, the iPad prints the guest's receipt — or keeps it ready to print — and shows a completion card.

With Auto-print receipts on:

  1. Take the payment. The receipt prints by itself.
  2. For a second copy, tap Reprint on the completion card. Then tap Done.

With Auto-print receipts off:

  1. Take the payment. Nothing prints (a cash payment still opens the drawer).
  2. If the guest wants paper, tap Print receipt on the completion card.
  3. Tap Done.
  • Seat payments: each seat's payment prints that seat's own receipt at once: "Seat 2" in bold at the top, the seat's own lines, what this payment charged (before the tip) as TOTAL, anything already paid on that seat as "Paid so far", then the payment's tip, method and change. Seat receipts print even with Auto-print receipts off, and never open the drawer. When a house-account charge leaves the seat short, its receipt waits and prints with the payment that finishes it. The payment that settles the whole check also prints the full receipt (with Auto-print receipts on), after the seat receipt.
  • Reprint and Print receipt print the same papers again, unchanged, and never open the drawer again.
  • If a tap fails, you see "The receipt did not print: …" with the reason.
  • A failed automatic print never undoes the sale: the printer banner appears with Retry (see When a print fails).
  • Once the completion card is closed, reprint from Check history (see Reprint a past receipt).

Print bill prints the guest's bill from an open check: the same paper as the receipt without the payment lines, between "———— BILL ————" rules at the top and bottom, so it can never pass for a paid receipt. Anyone signed in can print it, with no approval. The printer button sits left of Send and Charge once the check has items.

  1. On the check, tap the printer button. It prints the full bill or, once a seat has paid, the bill for the remaining seats.
  2. For another kind of bill, press and hold the printer button and choose:
    • Full bill — the whole check;
    • Remaining seats — after a seat has paid, with who's on it underneath, such as "Seats 2, 3 + Shared";
    • By seat › All seats, or a single Seat N — while unpaid seats have lines;
    • Split evenly › 2 parts to 6 parts.

What each one prints:

  • Full bill: the receipt body with the check's subtotal, discount, IVA and tip rows, dated when the tab was opened. With Comped lines on, the comped drinks print with "comp".
  • Remaining seats: "Items still open" under the top rule, the open seats' lines, the shared lines under "Shared", then "Check total", a "Seat N · paid" row for each settled seat, "Paid so far" for other payments, and "BALANCE DUE" — the same figure as the Charge button.
  • By seat: one paper per unpaid seat, labelled like "Seat 2 · 1/3": the seat's own lines, the shared lines under "Shared" at full price, and one TOTAL — the seat's share of the check, worked out from the seat's lines after their own discounts: the same figure as that seat's payment button. Seats that already paid get no paper. On a tab with a single seat, it prints that seat and a separate Shared paper, splitting the check between the two the same way.
  • Split evenly: N papers with totals only, labelled like "Part 1 of 3", that add up exactly to the check.

Bills for part of a check leave out the whole-check Subtotal, IVA, Tip and Discount rows, and are dated now. A tab with no seats asked for By seat prints the full bill. If a bill fails, the printer banner's Retry reprints only the paper that failed.

Prep tickets on Send

When a check is sent, each routed station gets a prep ticket with exactly the lines this Send fired, at the printer its category is routed to.

  1. Ring up the items on the check.
  2. Tap Send (N). The iPad goes back to the floor, and each station's printer prints its ticket.

The ticket, from top to bottom: "TICKET · {printer name}" in bold; the destination in large letters — "TABLE 4" for a table, otherwise the tab's guest name or "#" and 4 characters; the guest's name under a table, when the tab has one; the server and the time; then each line as "2× Margarita" in tall letters, with "Seat 2" or "Seats 1·3" on the right when seats are used; each option indented below (free ones too, without prices); and the line's note as "* …". No money prints on a ticket.

  • Identical drinks — same name, same options, same note — merge into one line with the quantities added and every seat listed.
  • One ticket per printer. Lines in a No ticket category print nowhere.
  • Only the lines this Send fired print, so two iPads sending the same check at once can't print it twice.
  • Nothing reprints a ticket later. A failed ticket shows the banner "The {station} ticket did not print — the printer is not responding." with Retry, which sends that ticket again.
  • Items charged without ever tapping Send never print a ticket. Voiding a line prints nothing at the station.

Account slips

Small papers that prove customer-account money: a payment into an account ("— ACCOUNT DEPOSIT —"), a comp credit granted to an account ("— ACCOUNT CREDIT (COMP) —"), and part of a check charged to a house account without settling it ("— ACCOUNT CHARGE —"). They print by themselves once the money is recorded. The money side is in Customer accounts.

Each slip shows the logo (when Show logo is on), the legal name when it's filled in, the banner, the date, the account, who received or granted it, the amount by method, "Tip from credit" when a tip came out of the account's credit, the reason on a comp credit, and the balance before and after.

  • Slips for a payment into an account and for a comp credit print even with Auto-print receipts off. If printing is paused or there's no receipt printer, the iPad says so instead, for example "No receipt printer is set up — the deposit receipt was not printed." The partial-charge slip is skipped without a message in those cases.
  • A cash payment into an account opens the drawer (when Open the cash drawer on cash payments is on); a comp credit never does.
  • A failed slip shows the banner "The account slip did not print — the printer {name} is not responding." with Retry.

The Z-report on paper

When a manager closes the day on the iPad, the Z-report prints by itself on the Z-report printer. What it contains is in Closing the day.

To print another copy of tonight's Z:

  1. On the Z sheet, right after closing, tap Print. The line above the buttons says "Z-report sent to the printer." or "The Z-report did not print: …".
  2. Tap Done — sign out when you're finished.
  • It prints on the Z-report at shift close printer if one is set and active, otherwise on the receipt printer of the iPad that closes.
  • The paper is headed "{venue name} · Shift Close" and dated with the close's own time (a later copy keeps it), with the closer's name. It uses the venue's name, not the legal name, and no logo.
  • The iPad can print a Z only while its Z sheet is open, right after the close. Past closes are on screen in Reports › Shift closes (Z). No back-office report prints on the receipt printers.
  • A failed automatic print never gets in the way of the close: the banner offers Retry.

The cash drawer

The cash drawer plugs into the receipt printer's drawer port, and the iPad opens it through the printer — on its own, or at the start of a receipt so change can be made while it prints. Procedures are in Cash drawer. The drawer opens on:

  • a cash payment, or a card payment whose tip was left in cash, full or partial — when Settings › Receipt › Open the cash drawer on cash payments is on;
  • a cash payment into a customer account — with the same switch on;
  • Cash In / Out and Open Drawer (No Sale) in ··· More › Register — whatever the switch says;
  • Open Drawer (No Sale) under ··· More › This iPad, for staff who aren't managers, with a manager's PIN.

Every kick needs POS printing on and a receipt printer, and a reprint never opens the drawer again.

  • The kick goes out on the drawer port's standard pin (pin 2), which is how most cash drawers are wired. A drawer wired to the other pin won't open.
  • An iPad whose own receipt printer is another printer sends its kicks there: a bar iPad pointed at the bar printer opens the drawer on the bar printer, not the till's.
  • No Sale says "Drawer opened." only once the printer took the kick; otherwise "The drawer did not open — the printer {name} is not responding.", "Printing is paused (admin setting)." or "No receipt printer configured." A failed kick on Cash In / Out or on a partial cash payment shows no message, only the top bar's printer-offline note.

The iPad's printer tools

Who can do this: a signed-in admin or manager.

On the iPad, tap ··· More › This iPad › Receipt printer. The sheet has Test Print, Find Printers and Receipt printer (this iPad); Done closes it.

The Receipt printer row also shows the receipt printer's state: "{printer} · ready", "· offline" when the last job sent to it got no answer, "· paused" when POS printing is off, or "No printer". "Ready" isn't a live check: it means nothing has failed.

  1. Tap Test Print.
  2. If you have more than one active printer, choose one: "Choose which printer to test." Each is listed with its kind: Receipts, Kitchen or Bar station.
  3. "Test print sent." means the printer took it. "The test page did not print — the printer {name} is not responding." means it didn't.

The test page is a sample receipt in your design, on whichever printer you chose: check "TEST", table 4, you as the server, an Old Fashioned with a Mezcal option, two Margaritas with a 20% discount, an $80 tip, paid in cash with change. Test Print won't print while POS printing is off.

Find and add a printer

  1. Tap Find Printers. The scan starts at once: "Looking for printers on this network…". It takes about 10 seconds.
  2. Each printer found shows its name and address. Tap Add on the one you want; printers already on your list show Added.
  3. Scan again repeats the scan; Done closes it.
  4. In the back office, rename the printer and set its type and routing (Settings › Printers, Menu › Categories).
  • The scan finds printers that announce themselves on the network, and anything answering on port 9100 in the iPad's own address range. A printer outside that range, or one that answers neither way, isn't found: add it by its IP address in the back office.
  • A printer added here goes straight onto your venue's list, as an active Receipt printer on the network, not marked as a default and with no routing: those stay back-office decisions.
  • A turned-off printer at the same address shows Add, and adding it creates a second entry.
  • Messages: "Still scanning…"; "No printers found." with "Check the printer is powered on, on the same Wi-Fi as this iPad, and that the access point is not isolating clients."; "Could not search the network: …"; "Could not read this iPad's network address."

Send this iPad's receipts to another printer

For example, so the bar iPad prints at the bar printer:

  1. Tap Receipt printer (this iPad).
  2. Choose a printer, or Venue default to follow the venue's Receipts & bills choice.

The choice is kept on the iPad itself: it survives signing out and restarting, applies to everyone using that iPad, and doesn't show in the back office. It covers receipts, bills, slips, reprints and drawer kicks from that iPad, and its Z when no Z-report printer is set. If the chosen printer is deleted or turned off, the iPad quietly goes back to the venue's choice.

If iOS blocks the local network

The first time the app reaches your network, iOS asks for Local Network permission, explaining in the iPad's own language: "Barform POS connects to receipt printers on your local network." If it was denied, every print fails. The banner, Test Print and No Sale just say the printer "is not responding"; the completion card's Reprint, Check history's Reprint and the Z's Print show the full reason, which starts "iOS is blocking this app's connection".

To fix it, on the iPad open Settings › Privacy & Security › Local Network and switch Barform POS off and on again. If it still fails, delete the app, restart the iPad, reinstall the app with the App Store link on Settings › Devices in the back office, and allow the local-network prompt.

Reprint a past receipt

Who can do this: admins and managers.

  1. On the iPad, tap ··· More › Check history and pick the check. Its preview is the exact paper.
  2. Tap Reprint. The status line says "Reprint sent to the printer." or why it failed — for a printer that doesn't answer, with the iPad's and the printer's addresses.

The paper has "———— REPRINT ————" at the top and bottom and is dated with the check's closing time. Voided lines are left out. The payment row prints only when the check had exactly one payment, and a check charged to an account shows the account's name but no balances. It uses the design the iPad has loaded now, not the one in force when the check was paid. More in Check history.

When a print fails

A failed print never blocks or undoes a sale. Instead, a banner drops in above everything on the iPad, with one sentence naming the paper and the printer, Retry (which sends exactly that job again) and Skip.

  1. Check the printer: power, paper, cable or Wi-Fi.
  2. Tap Retry to send the same paper again, or Skip. The banner goes by itself after 8 seconds; a new failure replaces it.
  3. If the job is gone, print it again from where it came from — the completion card, Print bill, Check history or the Z sheet. Prep tickets have no other reprint.

The banner sentences:

  • "The receipt did not print — the printer {name} is not responding."
  • "The bill did not print — the printer {name} is not responding."
  • "The drawer did not open — the printer {name} is not responding."
  • "The account slip did not print — the printer {name} is not responding."
  • "The {station} ticket did not print — the printer is not responding."
  • "The Z-report did not print — the printer {name} is not responding."

"Not responding" means the printer didn't take the job within 8 seconds, or refused or dropped it. When printing is paused, there's no receipt printer, or a station's printer is turned off, the iPad says that instead, with no Retry.

The top bar also shows printers that stopped answering: "{name} printer offline", or "{n} printers offline" for several. A printer joins it when a job to it fails, and leaves when a later job reaches it — a ticket reaching the kitchen doesn't clear the receipt printer. The note also clears when POS printing is switched off, at sign-out, and for printers that are deleted or turned off. At sign-out the banner clears too, so the next person doesn't inherit someone else's retry.

Prints you start by hand — Test Print, Reprint, Check history, the Z's Print, No Sale — show their result in place instead of the banner, but still mark the printer offline in the top bar when it doesn't answer.
