Items sold

Every item sold over a range of nights — how many and what each brought in — with search in either language, a category filter, totals and a CSV.

On this page

Items sold lists every item your bar sold on the nights in a range: how many, and what each one brought in. Use it to see how many of something you sell — margaritas last night, say. It's the full list behind Top menu items on Today and Sales, which stop at ten, and it counts the same way: for the same nights, an item has the same figures on all three pages.

Who can do this: admins and managers.

See what sold

  1. In the back office, go to Reports › Items sold. It opens on the last 30 days.
  2. Click a quick range — Today, Yesterday, 7 days, 30 days, This month, Last month, This year, Last year — or set From and To.
  3. Read the heading — the night, such as "Sun, Oct 11", or the dates — and the line under it, which says exactly which tabs are counted: "Tabs opened Sun, Oct 11, 6:00 AM – Mon, Oct 12, 5:59 AM".
  4. Read the list, most sold first:
    • Item, with its Spanish name under it when the product has a different one.
    • Category. On a phone it shows under the item's name.
    • Sold — how many.
    • Sales — what they brought in.
  5. The last row, "Total · N items", adds up the quantity and the money of the rows shown.

The page sums itself up under its title: "Every item sold over a range, counted the way Today and Sales count their top items."

  • With nothing sold in the range, the page says "No items sold in this range."
  • If the list can't be read, it says "This could not be loaded — refresh the page to try again."

Open it from Today or Sales

On Today or Sales, click See all items under Top menu items. Items sold opens on the same night or range. The link is there whenever the panel lists something.

Find an item

  1. Type in Search items: part of the item's name, or of its Spanish name.
  2. The list and the total row narrow to the items that match.
  • Accents, capitals and punctuation don't matter: "anejo" finds "Tequila Añejo".
  • Either name works: "papas" finds "Fries" when its Spanish name is "Papas fritas".
  • Every word you type has to appear: "marg tam" finds "Margarita de tamarindo".

When nothing matches, the page says "No items match." Click Show all items to clear the search and the category.

Show one category

  1. Open the category filter beside the search. It starts on All categories.
  2. Choose a category. The list and the total row show only its items. Items with no category are under Uncategorized, at the end of the filter.

Your search and category stay when you change the range. If the new range sold nothing in that category, the filter goes back to All categories.

Sort the list

The list starts sorted by Sold, most first.

  1. Click another column's name to sort by it: Sales puts the most money first, Sold the most sold, and Item and Category go from A to Z.
  2. Click the column you sorted by again to flip the order. At the start, clicking Sold puts the items sold least first.

Sorted by Sales, the list is in the order Top menu items uses: the items that brought in the most come first.

Export the list

  1. Click Export CSV, beside the category filter.
  2. The file holds the rows shown, after your search and category, in the order shown. It has five columns — Item, Spanish name, Category, Quantity and Sales (MXN) — with pesos to two decimals. There's no total row.

Export CSV is greyed out when your search or category leaves no rows.

How items are counted

Items sold counts exactly the way Top menu items does on Today and Sales.

  • The tab's night. A tab's items count on the night the tab was opened, whenever it was paid. With a 6:00 AM service time, a tab opened at 5:59 AM belongs to the night before. See Which night a sale counts on.
  • Tabs that took money. A tab counts once any of it is paid — a payment, or, for a tab put on a customer account, money the account has paid toward it — and from then on all its items count. An open tab with nothing paid, or a tab on a customer account nobody has paid yet, hasn't sold anything yet.
  • Voids and comps. Voided lines aren't counted, mistakes and comps alike: a comp is recorded as a voided line. Both are under Discounts & voids on Today.
  • What an item brought in. For each line: quantity × (price + option prices), less that line's own discount. A discount on the whole check isn't taken off.
  • Custom drinks count together, under the name of the custom drink tile they were made from. Each drink by its own name is under Custom drinks on Sales.
  • TouchBistro history you imported is included for its nights, under the product each item was linked to, or else under its own name.
  • One row per name. Products with the same name — an archived product and the one that replaced it, say — are one row, shown with the category and Spanish name of the active one. A product renamed since shows under its new name.
  • Sold is a whole number: imported history can hold fractions, which are rounded.

A past night can change: when a customer account pays for an old tab, that tab's items join its night.

Note

The total can be more than Net sales for the same nights. Whole-check discounts aren't taken off, and a tab counts all its items as soon as any of it is paid, while Net sales counts only what has been paid. The line under the list says so: "Each item's sales are what was paid for its lines, after each line's own discount. Whole-check discounts are not taken off, so the total can be more than Net sales. Voided and comped items are not counted."
